The first thing any hospital in Germany asks for before accepting a patient is a complete, clear medical file. Based on it, the specialist decides whether the case suits their department, what the treatment plan is, and roughly what it will cost and how long it will take. Preparing your reports the right way can save you weeks of waiting and back-and-forth.
In this article we explain which reports are needed, how to prepare them, and the most common mistakes that delay a reply.
Why preparing your reports matters ⏱️
When a file arrives incomplete or unclear, the hospital has to ask for more documents, and every request adds days or weeks. A complete file is reviewed straight away, and you get the reply and treatment plan sooner.
Reports hospitals usually need 📋
- A recent report from the treating doctor: the diagnosis, when the illness began, treatments received and their results, and the patient's current condition.
- The scans themselves, not only the written report: CT, MRI, and X-ray images, ideally on a disc or download link from the hospital, together with the radiologist's report.
- Lab results: especially recent ones, such as blood count and kidney and liver function.
- Pathology (tissue) reports: essential in tumor cases.
- Reports of previous surgeries, if any.
- A list of current medications and doses, and any drug allergies.
- A copy of the patient's passport, needed later for admission and the visa.
Tips for preparing the file ✅
1. Keep reports recent 📅
Hospitals prefer recent reports and tests that reflect the patient's condition today. If your latest scans or tests are old, ask your doctor whether they should be updated before sending.
2. Ask for reports in English 🌐
Doctors in Germany read reports in English or German. Many hospitals will issue a report in English if you ask; if not, we help with translation.
3. Photograph documents clearly 📷
Capture each full page in good light without shadows, or scan it, and make sure the text and stamps are readable. An unclear page may have to be requested again.
4. Order the file by date 🗂️
Arrange reports from oldest to newest and give each file a clear name, like "MRI - September". This helps the doctor follow the case quickly.
5. Don't leave anything out 🤝
Send everything you have, even if it seems unimportant. Small details can change the treatment plan or the admission decision.
Common mistakes that delay a reply ⚠️
- Sending the written radiology report without the images.
- Sending cropped or blurry photos of reports.
- No medical report summarizing the case.
- Sending old reports that don't reflect the current condition.
